Migrating from Excel to PLM: Your Straightforward Guide

If your product data lives across a tangle of spreadsheets, shared drives and email threads, you're not alone - and you're not stuck. Migrating from Excel to a dedicated PLM gives your team one reliable source of truth, cuts the admin that slows your product cycles down, and frees you up to focus on building great products.

Bombiix is built to make that move straightforward, with fast onboarding, no setup fees, and support from people who've been in your shoes.

Why so many product teams are still stuck in spreadsheets

Most product teams start in Excel because it's flexible, familiar and free. But as your range grows, that flexibility starts working against you:

Managing BOMs across several spreadsheets, keeping track of supplier updates over email and entering data manually.

You’re not alone, it’s a common thing we see in the industry.

But, spreadsheets were never built for the way product development actually works, and there's a better way.

The real cost of spreadsheet product lifecycle management

Staying in Excel costs you time, accuracy, visibility and eventually, trust in your own data.

Version control and the single source of truth problem

Spreadsheets get duplicated, emailed and edited in isolation, so teams are never certain which version is current.

A nightmare scenario that’s more common than you think: a supplier works from a BOM that's two revisions old, produces to the wrong spec, and nobody catches it until the delivery lands.

The admin burden that steals time from real product work

Every hour spent copying, updating and cross-checking spreadsheets is an hour not spent on design, sourcing, or on the work that actually moves your range forward. Excessive admin and duplicated effort are two of the biggest frustrations product teams tell us about - and they're almost always a symptom of scattered data.

Scaling a product range on spreadsheets

What worked for a small range becomes a real risk once you start to scale.

As SKU counts, supplier lists and team sizes grow, Excel becomes increasingly fragile. A single tab that worked for 20 products breaks down quickly at 200, and there is no audit trail or accountability built in.

PLM vs Excel: what actually changes when you make the switch

What a PLM data migration strategy looks like in practice

Will migrating to a PLM take months? Will something get lost along the way?

These are the questions that keep product teams stuck in spreadsheets long after they know they need to move.

After supporting many brands make the switch from spreadsheets, here’s what we’ve learnt:

It depends on your data, but with the right approach, it's far more manageable than it sounds.

Step 1 - audit and scope your existing Excel data

Start by listing everywhere your product data currently lives - BOMs, specs, supplier contacts, compliance docs, shared drives, even the file someone keeps "just in case."

From there, decide what's genuinely worth migrating and what can be archived or left behind.

Step 2 - Decide what data to bring across

Next, choose between migrating just the latest state of each product or bringing full version history with you.

If you're in a regulated category and need audit trails for compliance, you'll likely want more history to come across. If you're mainly focused on moving forward, the current state may be all you need.

Step 3 - Cleanse before you migrate

Before anything moves, clean up duplicate entries, correct inconsistent field names and remove outdated records.

Bad data in Excel becomes bad data in your PLM if you skip this step - so it's worth protecting the integrity of your new system from day one.

Step 4 - Import, validate and go live

Import a subset of data first - validate it against your source, fix any mapping issues and then move forward in batches. Many PLMs - including Bombiix - have bulk upload options to further simplify the process.

And you're never doing this alone - Bombiix supports you through direct chat and live sessions, not a ticketing queue.

Why Bombiix makes the move easier than traditional PLM

Traditional PLM has a reputation for being slow, expensive and built for enterprise IT teams.

Bombiix was built differently.

No legacy architecture or painful implementation projects

Enterprise PLM implementations can take months and pull in dedicated IT resources you may not have. Bombiix's modern, single-stack platform means you can start seeing real value in weeks, not months.

Support from people who have actually built products

Bombiix was born from one product developer's frustrations with outdated, legacy PLMs. Our founder lived the late nights, the chaotic workflows and the constant fear of missed details. So when we say we get it, we really do - and when you need support, you're talking to people who understand your workflow, not a generic software helpdesk.

A platform that grows with your product range

Bombiix is fully user-defined, meaning it flexes as your SKU count, supplier list and team grow - without forcing you into paid upgrades or new feature tiers. It's not just a spreadsheet replacement. It's a long-term home for your product data.
